Receptionist

ECS Recruitment is currently seeking an experienced receptionist for a permanent position, for a corporation located in Dublin city centre. As the first point of contact for the company, you will play a pivotal role in creating a positive and welcoming environment for visitors, clients, and employees.
Responsibilities:
Reception Duties:

  • Greet and welcome visitors, clients, and employees with a warm and friendly attitude.
  • Answer and direct incoming calls promptly and professionally, ensuring accurate message delivery.
  • Maintain a neat and organized reception area to create a favourable impression.

Administrative Support:

  • Provide comprehensive administrative support to various departments as needed. This includes managing incoming and outgoing correspondence, scheduling appointments and meetings, maintaining calendars, and handling travel arrangements.

Communication:

  • Communicate effectively and professionally with individuals at all levels, both internally and externally.
  • Clearly convey messages, relay information, and provide assistance in a courteous manner.
  • Respond to inquiries promptly and ensure accurate dissemination of information.

Record Management:

  • Maintain accurate records, including filing documents, managing databases, and updating contact lists.
  • Handle confidential and sensitive information with utmost discretion and adhere to data protection policies.

Coordination and Logistics:

  • Assist in organizing and coordinating meetings, conferences, and events. This includes preparing meeting rooms, arranging necessary equipment, and providing support during events as required.

Office Supplies and Inventory:

  • Monitor and maintain inventory of office supplies, placing orders as necessary.
  • Ensure the availability of essential items and liaise with vendors for timely delivery.

Ad hoc Tasks:

  • Undertake ad hoc tasks and projects as assigned by management. These may include data entry, report preparation, and other administrative duties to support the smooth functioning of the office.

Security Clearance:

  • Checking for guests’ and visitors’ eligibility to access the building(s).

Requirements:
Experience:

  • Minimum of 2 years of experience as a receptionist or in a similar front-facing role, preferably in a corporate or professional environment.

Education:

  • High school diploma or equivalent qualification is preferred.
  • Additional vocational training or certification in office administration or a related field is advantageous.

Professionalism:

  • Possess a professional and polished demeanour, with exceptional interpersonal and communication skills.
  • Demonstrate a customer-focused approach and the ability to handle challenging situations with tact and diplomacy.

Organizational Skills:

  • Strong organizational and multitasking abilities, with a keen eye for detail.
  • The candidate should have the ability to prioritize tasks, meet deadlines, and maintain accuracy in a fast-paced environment.

Technical Proficiency:

  • Proficient in using standard office software (e.g., Microsoft Office Suite) and operating office equipment such as phone systems, photocopiers, and printers.
  • Experience with booking systems or customer relationship management (CRM) software is a plus.

Flexibility:

  • Demonstrated flexibility and adaptability to changing priorities and requirements.

Confidentiality:

  • Display a high level of integrity and maintain confidentiality in handling sensitive information.

Language Skills:

  • Fluent verbal and written communication skills in English.
  • Additional language proficiency is advantageous.
